YYJ Strata Care Ltd., registered in British Columbia as YYJ Stratacare Ltd. (incorporation no. 1485817), provides building caretaking and maintenance services to strata corporations in Greater Victoria. This page explains what personal information we collect when you use our request and booking service, what we do with it, and who else sees it.
Our role, and the strata corporation’s
For the resident information held about your building — the owner and tenant list, unit numbers, parking and locker assignments, and access-device records — your strata corporation is the organisation accountable for that information under British Columbia’s Personal Information Protection Act. We handle it as their service provider, under a written agreement that limits our use of it to managing the property.
We are separately accountable for what we collect on our own account, such as the content of a request you submit to us, a text-message conversation with our office, and recordings or transcripts of calls to our line.
What we collect
- Your name, unit number, and the building you live in.
- The email address or phone number you give us so we can respond.
- The details of your request or booking, and any photos you attach.
- Records of messages between you and our office, including text messages and calls.
What we do with it
We use it to carry out the request you made, to schedule and perform caretaking work, to reach you about that work, and to report to your strata corporation on the work done in your building.
Information submitted through this service may be shared with your strata corporation and its property manager in order to fulfil your request. It is not shared with anyone else, and it is never sold, rented, or used for advertising.
Some requests are only valid with the unit owner’s approval — an additional access fob, for example. In those cases we contact the owner of record and tell them who made the request and what it was for.
Text messages and email
We send building notices, updates on your request, and booking confirmations. You choose whether to receive those by text, by email, or both, and you can change or withdraw that choice at any time. Withdrawing consent for one does not withdraw it for the other, and it does not affect a notice your strata corporation is required by law to deliver to you. Our text message terms set out the messaging programme in full, and the opt-in itself is shown on the text message opt-in page.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
How long we keep it
Request, booking and work records are kept for the life of our agreement with your strata corporation and are handed to the strata at the end of it, because the strata is required to retain many of them. Text and call records are kept for two years. Access-device and camera records, where a building has authorised them by bylaw, are kept for ten days unless they form part of an incident report.
Seeing or correcting your information
You can ask us what personal information we hold about you and ask us to correct it. Where the information belongs to your strata corporation’s records, we will pass the request to them and tell you we have done so.
